Welcome, new hires! Here is your one-stop shop for any resources that you might need throughout your first semester here at the Corps. Click on the link in the header to go to each resource, but don’t forget to read the description first! If you have any questions about anything in this article, talk to your support team or your team lead.
Policies and Procedures
The Policies and Procedures Handbook is a document with the official rules and policies of the Digital Corps. All students must read this document thoroughly and sign off agreeing to these terms each school year. Talk to your support team or your team lead if you have any questions about the policies outlined in this document.
Ultimate Info Sheet
The Ultimate Info Sheet: the best (and only) place to get information such as rank/team, email, emergency contact, and others about all of your coworkers. You can also see Digital Corps alumni, who have gone through the ranks and are now off doing their thing across the country (and beyond!). Check out this website if you want to learn more about your coworkers and see who you get to share your office with.
Kronos
Kronos is the system used by all Ball State student employees to clock in and out. Talk to your support team if you need help clocking in and out. If you miss a punch in/out, you will need to fill out a Kronos Adjustment Form.
Kronos Adjustment Form
Kronos Adjustment Forms are used if a student misses a punch in or out. These are typically turned in to your team lead once completed, and they will go in and make necessary changes to your Kronos. Your support team can help you fill one out if you need to.
Basecamp
Basecamp is the project management system used at the Corps. This is where PM (Project Management) team and JPMs (Junior Project Managers) keep track of progress of tasks on a project. All training tasks will be in Basecamp, and will be checked off as you complete them. Talk with your support team if you need help navigating Basecamp.
OneDrive
OneDrive is the file storage system used by the Digital Corps. All project files and assets will have a designated folder in OneDrive, and must be uploaded as they are completed for a project. If you have trouble accessing OneDrive, there is a reference guides article to help you get started.
Outlook Calendar Expectations
At the Digital Corps, all employees use Outlook Calendars to communicate availability, schedule meetings, and indicate what hours they will work each week. It’s important to update your calendar weekly with any events and classes. Check out the linked video to learn about how to utilize Outlook Calendars here at the Corps.
Mario Drive
The Mario Drive is one of the servers used by the Video Team to locally store and access files. Many projects are kept on Mario, anytime you work on a project that is stored on this drive it is considered best practice to keep all footage, project files, and source material there. Talk to your team lead if you have any questions about your team’s file management system.
VPN Access
Using a VPN allows Digital Corps employees to access content on the server while working remotely. The VPN is mainly used by the video team. This is often used to look for files that haven’t been stored on OneDrive. Talk to your team lead if you have questions about setting up or using the VPN.
Slack Etiquette Guide
Slack is the primary mode of electronic communication at the Digital Corps. Different topics are split into “channels” within the Slack account. We also designate a special Slack channel for every new and ongoing project at the Corps. This is where all communication for that project should take place. As with all communication, there are do’s and don’ts for how to interact with your coworkers and staff. Read here to learn about how use (and how not to use) Slack!
Equipment Checkout
Typically, students at the Digital Corps are allowed to check out equipment such as cameras, microphones, and drawing tablets for personal and Corps use. If you have been authorized to use the equipment for Corps purposes, please refer to this tutorial guide on how to use it! Be sure to ask your team lead about the updated rules for checking equipment in or out, as information might have changed regarding protocol.

All of these questions and more have been asked and answered over at the Reference Guides site, your primary stop for technical questions and general project and team knowhow!
