Before every shoot that happens here at the Digital Corps, a pre-production meeting will take place. At these meetings, JPMs will talk about what’s going to happen on the shoot, who will be there, and where the team will be shooting. To keep things organized and clear, JPMs fill out a pre-production sheet before each of these meetings. During these meetings is when the whole team can make any last-minute tweaks if they need to.
Make sure that everything is detailed when filling out the sheet. If there’s something specific that’s supposed to happen on the shoot, add that. This just makes it easier for those who are on the shoot, so they don’t have to worry about if they’ve forgotten something.
COVID-19 Procedures
With COVID-19, pre-production sheets have to be more detailed. Part of this entails that you make sure that during your shoot, you keep track of everyone who has entered and left the set. Markdown the exact time of their arrival and departure. This will help us with contact tracing if someone were to get sick.
After the shoot, put down the times in the Attachment section. Once you have done this, post the new pre-production sheet into the channel again. The PM member of the project will place it in a special folder to help with contact tracing if needed.
Section Explanation:
Summary: This might be the most important part of the sheet. This is where you explain what’s going to be happening during the shoot, who will be there, and what the shoot is for so that everyone is on the same page. Make sure you explain everything in detail.
Crew List: This is where information about who’s on the crew and who’s doing which position specifically.
Schedule: This is where you’ll put the plan for the shoot. Here, the crew and talent know what exactly is going to happen and when it’ll happen. This is nice for talent who don’t have to be on set all day, that way they know when exactly to arrive on set.
Contacts: This is where everyone who will be on set’s contact information is put. It’s always best to put down phone numbers so that anyone can be reached even if they don’t have Slack.
